Log Smartflo call outcomes (status, duration, recording, disposition, agent) on matching Kraya leads. One-way webhook flow from Smartflo into Kraya.
Overview
The Tata Smartflo integration records your Smartflo call outcomes onto the matching leads in Kraya. When a Smartflo call ends, Smartflo sends the call's result to Kraya, and Kraya finds the lead with that phone number and logs a call entry on it — showing the call's status, direction, duration, recording link, disposition, and the agent who handled it. It is a one-way flow: Smartflo sends call outcomes into Kraya.
Use this integration if your team makes and receives calls through Tata Smartflo and you want each call to appear automatically on the right lead in Kraya, without logging calls by hand.
What you can do
- Automatically log every completed Smartflo call onto the matching Kraya lead
- Capture call status (answered or not), direction (incoming, outgoing, missed, no response), duration, and recording link
- Capture Smartflo's disposition, sub-disposition, agent name, and call timings as call notes

How it works
When you connect, Kraya gives you two things to paste into your Tata Smartflo account: a Webhook URL (where Smartflo sends call results) and a Header Token (a secret that proves the call data is really coming from your Smartflo account). You configure Smartflo to call this URL when a call ends and to send the token as a header.
After a Smartflo call finishes, Smartflo sends the call's details to your Kraya webhook. Kraya then:
- Checks the token. Every incoming call must include your Header Token. If the token is missing or wrong, Kraya rejects the request and nothing is logged.
- Finds the lead. Kraya matches the customer's phone number to a lead in your organization.
- Logs the call. Kraya adds a call entry on that lead with the call's status, direction, duration, recording link, and a notes block built from the disposition, agent, hangup reason, and call times.
What appears on the lead: each logged call shows whether it was answered, its direction (incoming or outgoing, or missed / no response if it wasn't answered), how long it lasted, a link to the recording (when Smartflo provides one), and call notes containing the disposition, agent name, hangup cause, and start/end times.
Only completed calls are logged. Kraya logs calls that have actually ended (they carry a call identifier and an outcome such as a status, duration, or end time). Interim or in-progress events are ignored.
No duplicate entries. If Smartflo sends the same call more than once, Kraya updates the existing entry for that call rather than creating a second one.
Creating leads for unknown callers (optional). By default, if a call comes from a phone number that isn't in Kraya, a new lead is created for it. You can turn this off so calls are only logged for leads that already exist. When a new lead is created this way:
- It is named after the caller's phone number and marked with Smartflo as its source.
- It is placed in the pipeline whose business number matches the number the call came in on (or was dialled from). If no pipeline matches that number, the lead lands in your default Leads pipeline at the New Lead stage.
The connection is organization-wide: one Smartflo webhook links to your whole Kraya organization, and it is set up from the Integrations Hub.
Prerequisites & basics
- Tata Smartflo is a paid-plan feature. On the free plan, opening the integration shows an upgrade prompt instead of the setup screen.
- You need an active Tata Smartflo account with access to configure webhooks / call triggers on Smartflo's side.
- You configure Smartflo to send call-end events to the webhook URL Kraya provides, with the Header Token attached.
Step-by-step guide
Connecting Tata Smartflo
- In the left sidebar, open the Integrations Hub.
- Under the Calling & Voice category, click the Tata Smartflo card. The "Connect Tata Smartflo" screen opens.
- Click Connect Smartflo. Kraya generates your private Webhook URL and Header Token.
- Copy the Webhook URL using the copy button next to it.
- Reveal the Header Token with the show/hide (eye) button, then copy it with the copy button. The header is named
X-Kraya-Webhook-Token. - In your Tata Smartflo account, set up a webhook (call trigger) that fires when a call ends:
- Paste the copied Webhook URL as the webhook address.
- Add a header named
X-Kraya-Webhook-Tokenwith your copied token as its value.
- Save the webhook in Smartflo. Completed calls will now be logged onto your Kraya leads.
Turning "Create New Leads for Unknown Callers" on or off
- Open the Tata Smartflo card from the Integrations Hub.
- Use the Create New Leads for Unknown Callers switch:
- On — a call from a number not already in Kraya creates a new lead, and the call is logged on it.
- Off — calls are logged only for leads that already exist; calls from unknown numbers are not logged.
Regenerating the token
- On the connected screen, click Regenerate Token.
- Kraya creates a new Header Token and the old one immediately stops working.
- Copy the new token and update it in your Smartflo webhook header right away, or Smartflo calls will start being rejected.
Disconnecting Tata Smartflo
- On the connected screen, click Disconnect.
- The connection is removed and Kraya stops accepting Smartflo call data.
Calls already logged on your leads are kept — disconnecting only stops new calls from being logged.
Settings and configuration
- Webhook URL — your private address that Smartflo sends completed-call data to. Read-only; copy it into Smartflo.
- Header Token (
X-Kraya-Webhook-Token) — the secret that authenticates each incoming call. Hidden by default; reveal, copy, or regenerate it. It must be added as a header on every Smartflo webhook. - Create New Leads for Unknown Callers — when on, a call from a number not in Kraya creates a new lead. When off, only existing leads get calls logged. On by default.
Role-based behavior
- Admins: Can open the Integrations Hub, connect Smartflo, copy or regenerate the token, toggle lead creation, and disconnect.
- Members: Do not manage integrations; Smartflo setup is an administrator task. Members still see the logged calls on their leads.
Limits and quotas
- One Smartflo connection per organization.
- Paid plans only. Tata Smartflo is not available on the free plan.
- Only completed calls are logged. In-progress or interim events are ignored.
- Calls are matched to leads by phone number. A call is logged on the lead whose phone number matches the caller's number.
- The Header Token is required on every webhook. Calls without the correct token are rejected.
Common edge cases

A call didn't show up on the lead Confirm your Smartflo webhook is sending call-end events to the exact Webhook URL and includes the
X-Kraya-Webhook-Tokenheader with the correct token. Also confirm the call has actually ended — only completed calls are logged. -
A call created a new lead I didn't expect This happens when "Create New Leads for Unknown Callers" is on and the caller's number isn't already in Kraya. Turn the switch off if you only want calls logged for existing leads.

A new lead from a call landed in the wrong pipeline New leads from calls are routed to the pipeline whose business number matches the number the call came in on or was dialled from. If no pipeline matches, the lead goes to your default Leads pipeline at the New Lead stage. Set the correct business number on the intended pipeline to route future calls there.

The same call appears only once even though Smartflo retried This is intentional. Repeat sends of the same call update the existing entry instead of duplicating it.

A call has no recording link Kraya only shows a recording link when Smartflo includes one in the call data. Some call types or Smartflo settings may not provide a recording.
Troubleshooting
Opening Tata Smartflo shows an upgrade prompt instead of the setup screen
- Cause: Tata Smartflo is a premium feature and your organization is on the free plan.
- Fix: Upgrade your plan to use the integration.
No calls are being logged in Kraya
- Cause: The webhook in Smartflo may point to the wrong URL, be missing the token header, or be sending the wrong token.
- Fix: Re-copy the Webhook URL and Header Token from the connected screen and re-enter them in your Smartflo webhook. Make sure the header is named exactly
X-Kraya-Webhook-Token.
Calls suddenly stopped being logged after I regenerated the token
- Cause: Regenerating creates a new token and immediately disables the old one. Smartflo is still sending the old token.
- Fix: Copy the new token and update it in your Smartflo webhook header.
Decision tree
- Can't reach the setup screen (upgrade prompt) → The integration is premium; upgrade your plan.
- Connected but no calls appear → Check the Webhook URL and the
X-Kraya-Webhook-Tokenheader in Smartflo. - Calls stopped after regenerating → Update Smartflo with the new token.
- Calls appear but on the wrong lead or pipeline → Check that phone numbers and pipeline business numbers are set correctly.
- None of the above → Contact the Kraya team.

Does this integration make calls, or does it also send leads to Smartflo? Neither. It only receives call outcomes from Smartflo and logs them on your Kraya leads.

Tips and best practices
- Set up your Smartflo webhook to fire on call-end events so every finished call is captured.
- Keep the Header Token private. If it is ever exposed, use Regenerate Token and update Smartflo with the new value.
- Set the correct business number on each pipeline so calls from unknown numbers create leads in the right place.
- After connecting, place one test call and confirm it appears on the expected lead to verify the setup end to end.
