Sync leads from Cratio CRM into Kraya for WhatsApp engagement.
Overview
If your team uses Cratio CRM (for example, for telecalling or sales tracking) and Kraya for WhatsApp engagement, you can connect the two so that every new or updated Cratio lead is mirrored in Kraya in real time. Use Cratio as your source of truth and let Kraya handle WhatsApp qualification, sequences, and AI replies on the same contacts.
This is a one-way, partner-managed integration — information flows from Cratio into Kraya via a webhook. There is no self-serve settings page in the Kraya dashboard; setup is handled by the Kraya team.
What you can do
- Automatically receive new and updated leads from Cratio in Kraya
- Keep contact details, lead source, and assignment in sync between the two systems
- Run AI qualification, Auto Follow-Up sequences, and Smart Triggers on Cratio leads exactly like leads from any other source
How it works
- Cratio sends an event to a unique webhook URL that belongs to your Kraya organization.
- Kraya receives the event, normalises the phone number, and looks for an existing lead in your organization.
- New contact — a new lead is created in the configured pipeline / stage (or your default Leads pipeline).
- Existing contact — the matching lead is updated with the latest data from Cratio.
- A call history / activity entry is logged on the lead where applicable.
Setup
This integration is partner-managed. To enable it:

Reach out to your Kraya POC and request the Cratio integration.

Decide which Cratio events should flow to Kraya — typically new lead created and lead updated.

Get your unique webhook URL from your POC. It will look like:
https://kraya-ai.com/api/webhooks/cratio/{your-org-slug} -
Configure your Cratio account (or ask your Cratio admin) to send the agreed events to this URL.

Test by creating or updating a lead in Cratio — it should appear / update in Kraya within seconds.
To pause, disable the webhook in Cratio or ask your POC to disable it on the Kraya side.
What gets saved
Kraya reads the standard Cratio fields and maps them to your CRM:

Phone numbers are normalised. Updates to a Cratio lead update the same Kraya lead rather than creating a duplicate.
Common edge cases
- Missing phone number — if a Cratio record has no calling or WhatsApp number, Kraya cannot create a usable lead. Make sure phone is captured in Cratio.
- Custom statuses in Cratio — if Cratio uses custom statuses, your POC will configure how those map to Kraya stages. Confirm the mapping during setup.
- Same phone on multiple Cratio records — updates will land on the same Kraya lead. The latest payload wins.
Troubleshooting
Cratio leads aren't showing up in Kraya
- Cause: The webhook URL configured in Cratio may not match.
- Fix: Confirm the URL with your POC; trigger a test by saving a lead in Cratio and watch the Kraya CRM.
Wrong owner on the imported lead
- Cause: The Assigned To mapping between Cratio users and Kraya users is off.
- Fix: Ask your POC to confirm the mapping.
Source on the lead doesn't reflect Cratio
- Cause: Cratio sends a Lead Source value that may be different from what you want shown in Kraya.
- Fix: Your POC can adjust the mapping if needed.
FAQs
- Is the sync two-way? The default is one-way (Cratio → Kraya). For bidirectional updates, ask your POC.
- Can I run Auto Follow-Up sequences on Cratio leads? Yes. Once the lead is in Kraya, you can attach sequences, run AI qualification, or use Smart Triggers — same as any other lead.
- Can I pause it? Yes — disable the webhook in Cratio, or ask your POC to pause it on the Kraya side.
