CRM Table View

See every lead in a pipeline as one sortable list with configurable columns, open Lead Details from a row, and run bulk actions — an alternative to the stage-by-stage view.

Overview

The CRM Table view shows every lead in a pipeline as one list, with one row per lead. Instead of opening one stage at a time, you see all your leads together, can sort them, and can choose which columns appear. Clicking a lead opens a Lead Details window where you can view and edit the lead without leaving the table.

The Stages view is unchanged. You can switch between the two views at any time.

What you can do

  • Switch between the Stages view and the Table view
  • See every lead in the selected pipeline in one list
  • Sort by Booked Slot, AI Score, Next Reminder, Days in Stage, Last Message, or Created On
  • Show, hide, and reorder columns, including your custom lead attributes
  • Click a stage in the funnel to see only that stage's leads
  • Search, filter, and use Update Leads, Export, and Delete, just like in the Stages view
  • Turn AI Reply and Auto Followup on or off from a lead's row
  • Open a lead to edit notes, sequences, calls, reminders, and settings
  • Move a lead to another stage or pipeline
  • Assign a lead with Quick Assign
  • Message or call a lead
  • Use the Table view on mobile

How it works

  • Your view and columns are remembered. The view you pick and the columns you set up are saved to your account and stay the same next time you open the CRM. Your column setup doesn't affect your teammates.
  • The table shows the pipeline you have selected. Change the pipeline from the pipeline dropdown to see another pipeline's leads.
  • More leads load as you scroll to the bottom of the list.
  • Search and filters work the same as in the Stages view. See Filters.
  • Search across all pipelines shows results grouped by pipeline and stage, in place of the table. Clear the search to return to the table.

Step-by-step guide

Switching to the Table view

  1. Navigate to the CRM page.
  2. At the top-right of the page, click Table.
  3. To go back, click Stages.

If you have a stage open when you switch, it stays selected in the other view.

Reading the table

  • Lead Name stays pinned on the left when you scroll sideways.
  • Stage shows the lead's stage in the same colour as in the funnel.
  • AI Score shows the lead's score out of 10.
  • Days in Stage shows how long the lead has been in its current stage, for example 3d.
  • An empty value is shown as —.

Some empty cells offer a quick action instead:

  • Next Reminder shows Set reminder — click it to add a reminder.
  • Scheduled Message shows Schedule — click it to schedule a WhatsApp message. See Scheduled Messages.
  • Booked Slot shows Copy booking link when the lead has a booking link — click it to copy the link.

The Actions column has two icons:

  • Message — opens the lead's WhatsApp conversation.
  • Edit — opens Edit Lead Details.

AI Reply and Auto Followup are switches. Click one to turn it on or off for that lead.

Click anywhere else on a row to open the lead's Lead Details window.

Sorting the table

  1. Click the header of Booked Slot, AI Score, Next Reminder, Days in Stage, Last Message, or Created On.
  2. The first click sorts newest or highest first (down arrow).
  3. The second click sorts oldest or lowest first (up arrow).
  4. The third click turns sorting off.

Showing, hiding, and reordering columns

  1. Click the Columns button at the top-right, next to Stages / Table. The number on it (for example, 12/18) shows how many columns are visible.
  2. In the Customize Columns window, tick or untick columns to show or hide them. Use Select all to change all of them at once.
  3. Drag a column by its handle to change its position.
  4. Click Done to save. Closing the window without Done discards your changes.

To go back to the original columns, click Reset to default.

Lead Name, Phone, and Stage are marked Required and cannot be hidden. Lead Name always stays first.

Your custom lead attributes are listed with a Custom badge.

Seeing one stage at a time

  1. Click a stage in the funnel above the table. The table shows only that stage's leads.
  2. Click the same stage again to see all leads.

Selecting leads and using bulk actions

  1. Tick the checkbox next to each lead you want, or tick the checkbox in the table header to select all.
  2. A bar shows how many leads are selected, with Select all and Clear.
  3. Use Update Leads, Export, or Delete. These work the same as in the Stages view — see Dashboard.

Select all selects every lead in your current view, not just the ones on screen. If you picked a stage in the funnel, it selects every lead in that stage.

Checkboxes can't be used while a bulk update, import, or export is running.

Opening a lead's details

Click a lead's row to open Lead Details. The top shows the lead's name, ID, when they were added, how many days they've been in their stage, and their pipeline, stage, and source.

The window has these sections:

Contact & Automation

  • Email and phone number, each with a copy icon, and an icon to open WhatsApp.
  • The lead's booked slot with a Reminder Sequence switch, or No booked slot with a Copy booking link button. If your organization doesn't use calendar booking, this is hidden.
  • Auto Followup and AI Reply switches.
  • The pencil icon opens Edit Lead Details to change the name, email, or phone.

Additional Info

  • Your custom lead attributes and their values. The pencil icon lets you edit them.

Notes

  • Click the note to edit it. It saves as soon as you click outside the box.

Auto Follow-Up Sequence

  • Pick a sequence from Select Sequence, or use Clear sequence to remove it. See Auto Followups.
  • Shows the next message, when it's scheduled, the last message, and how many messages were sent.

Scheduled Message

  • Shows upcoming scheduled messages. Click one to edit or cancel it, or click + Schedule to add a new one. See Scheduled Messages.

Call Tracker

  • Shows how many calls are done. Tick a call to mark it done. See Call Tracker.

Next Reminder

  • Shows the next reminder with a Mark Done button, or Set reminder if there is none. Click the date to change it.

Stage & Timing

  • Shows Days in stage and Days in pipeline. The history icon shows past stage and pipeline changes.

Moving a lead to another stage or pipeline

If your account has one pipeline: in the top-right of Lead Details, choose the new stage from the stage dropdown.

If your account has more than one pipeline:

  1. In the top-right of Lead Details, click Move Pipeline / Stage.
  2. Choose a Pipeline and a Stage.
  3. If you're moving the lead into a Sales pipeline that uses Round Robin, you can tick Count this move towards Round Robin rotation. See Round Robin.
  4. Click Save.

When a lead moves to another pipeline, it no longer shows in the table you're viewing. You'll find it in its new pipeline.

If the stage needs required fields

Some stages require certain fields to be filled before a lead can enter. If a field is missing:

  1. A window opens listing the fields you need to fill.
  2. Fill in every field.
  3. Click Fill & Move. The lead moves once all fields are filled.

Click Cancel to keep the lead where it is. See Required Stage Attributes.

Assigning a lead with Quick Assign

  1. Open the lead's Lead Details.
  2. Click Quick Assign (on mobile, Assign).

The lead is assigned using your organization's Round Robin settings. Quick Assign only shows when your organization uses Round Robin and the lead is in a Leads pipeline. See Round Robin.

Messaging or calling a lead

  • Message opens the lead's WhatsApp conversation in a new tab.
  • Call (on mobile) opens your phone's dialer with the lead's number.

Using the Table view on mobile

  • The table scrolls sideways.
  • Tap Columns to show or hide columns. Press and hold a column to drag it to a new position.
  • Tap a lead to open Lead Details, with Message, Call, and Assign buttons at the top.

Settings and configuration

  • View — Stages or Table. Default: Stages.
  • Columns — which columns show and in what order.

By default the table shows Lead Name, Phone, Email, Source, AI Score, Notes, Stage, Next Reminder, Days in Stage, Last Message, Call Tracker, Scheduled Message, AI Reply, Auto Followup, and Created On. Booked Slot, Auto Follow-Up Sequence, and your custom attributes are hidden by default — turn them on from Columns.

Booked Slot is only available if your organization uses calendar booking. See Calendar Booking.

Limits and quotas

  • Notes: up to 16,000 characters. A counter appears as you get close to the limit.
  • Required columns: Lead Name, Phone, and Stage are always shown.

Common edge cases

  • "No leads in {Stage} stage" The stage you picked in the funnel has no leads. Click Clear stage or pick another stage.

  • "No leads match" Nothing matches your search or filters in this pipeline. Click Search across all pipelines, or Clear search & filters.

  • "No leads yet" This pipeline doesn't have any leads yet.

  • A lead disappeared from the table It was moved to another pipeline. You'll find it in that pipeline.

  • I don't see "Quick Assign" It only shows when your organization uses Round Robin and the lead is in a Leads pipeline.

  • I can't hide Lead Name, Phone, or Stage These columns are required.

  • My column changes weren't saved Click Done to save. Closing the window without Done discards your changes.

Troubleshooting

Column settings didn't save

  • Cause: The save failed. You'll see "Could not save your column settings."
  • Fix: Click Done again. If it still fails, check your connection and reload the page.

A switch, note, or stage change didn't save

  • Cause: Usually a connection problem. The lead goes back to how it was.
  • Fix: Check your connection and try again. If you're moving into a stage with required fields, fill them in when asked.

Stage counts look wrong

  • Cause: A teammate may have changed leads at the same time.
  • Fix: Reload the page.

Decision tree (a lead you expect isn't in the table):

  • If a stage is selected in the funnel → click it again to see all leads
  • If a search or filter is on → clear it, or use Search across all pipelines
  • If the lead was recently moved → check its new pipeline
  • If still missing → reload the page, then contact support

FAQs

  • Are my columns shared with my team? No. Your view and columns are saved only for you.

  • Does Select all only select the leads I can see? No. It selects every lead in your current view, including leads further down the list.

  • Why can't I find the Booked Slot column? Your organization doesn't use calendar booking.

  • Can I move a lead to another pipeline? Yes, if your account has more than one pipeline. Open the lead and click Move Pipeline / Stage.

Tips and best practices

  • Put the columns you check most often first.
  • Sort by Next Reminder to work through follow-ups in order, or by AI Score to focus on your best leads.
  • Click a stage in the funnel to focus on one stage, then click it again to see everything.
