Round Robin

Distribute leads across sales pipelines in rotating order with customizable target stages.

Overview

Round Robin Assignment helps admins distribute leads across Sales pipelines in a predictable rotation. You can control whether Round Robin is enabled for your organization, choose which Sales pipelines participate, set their order, and choose the target stage used when a lead is assigned to each pipeline.

This is useful when you want fair lead distribution and consistent lead entry points for each Sales pipeline.

What you can do

  • Turn Round Robin on or off for your organization
  • Enable or disable specific Sales pipelines in the Round Robin pool
  • Reorder Sales pipelines to control assignment priority
  • Choose a per-pipeline Round Robin target stage for incoming Round Robin assignments
  • Switch pipeline type between Leads and Sales from the Round Robin settings page

How it works

Round Robin assigns leads to the next eligible Sales pipeline in sequence. The sequence follows the configured pipeline order. When a lead is assigned to a pipeline through Round Robin, the lead is moved to that pipeline's configured RR target stage. If no custom target stage is saved, the default target is New Lead.

Round Robin target stage configuration applies to Round Robin assignments. Other flows keep their own behavior unless separately configured.

Step-by-step guide

Open Round Robin settings

  1. Navigate to Dashboard > Round Robin Assignment.
  2. Confirm you can see the page header and Pipeline Configuration table.
  3. If you see an access error, check role and organization setup (see Troubleshooting).

Configure organization-level Round Robin

  1. Use the top toggle to enable or disable Round Robin for the organization.
  2. Wait for the success confirmation.

Configure pipelines in the pool

  1. In Pipeline Configuration, find your Sales pipelines.
  2. Use RR Enabled to include or exclude each Sales pipeline from rotation.
  3. Use the drag handle to reorder Sales pipelines.
  4. Save behavior is automatic; success messages appear after each change.

Set RR target stage per pipeline

  1. For a Sales pipeline with RR enabled, open the RR target stage dropdown.
  2. Select the stage where Round Robin-assigned leads should land for that pipeline.
  3. Repeat for other Sales pipelines as needed.

Change pipeline type (if needed)

  1. Use the Type dropdown in a row to switch between Leads and Sales.
  2. If switching to Sales, Round Robin for that row is enabled for configuration.
  3. If switching away from Sales, Round Robin settings for that row are cleared.

Settings and configuration

  • Organization toggle (Round Robin enabled) Controls whether Round Robin runs at org level.
  • Pipeline RR Enabled Controls whether a Sales pipeline participates in rotation.
  • Pipeline order Determines assignment sequence across Sales pipelines.
  • RR target stage Determines which stage a lead is moved into when Round Robin assigns that pipeline.
  • Pipeline type (Leads / Sales) Round Robin participation is limited to Sales pipelines.

Role-based behavior

  • Admins: Can open Round Robin settings and update all configuration.
  • Members: Cannot update Round Robin settings.

Common edge cases

  • Round Robin page is inaccessible This usually means your role is not admin, or Round Robin is not enabled for your organization.
  • A Sales pipeline is in the table but does not assign leads Check both org-level Round Robin toggle and pipeline-level RR Enabled.
  • Stage selection appears to reset A failed save can revert changes; retry and confirm success message.
  • Pipeline type changed from Sales to Leads Pipeline-level Round Robin settings are removed for that row.

Troubleshooting

I cannot open Round Robin settings

  • Cause: Missing admin access or Round Robin feature not enabled for the organization.
  • Fix: Ask an admin to grant access or enable Round Robin for the organization.

Round Robin assignment is not happening

  • Cause: Organization toggle is off, no Sales pipelines are RR-enabled, or configuration is incomplete.
  • Fix: Enable org-level Round Robin and at least one Sales pipeline in the pool.

Lead is not landing in expected stage

  • Cause: The selected RR target stage was changed, cleared, or save failed.
  • Fix: Reopen Round Robin settings, verify RR target stage for that pipeline, and save again.

Decision tree

  • If page access fails -> verify admin role and org Round Robin availability.
  • If assignment fails -> verify org toggle and at least one RR-enabled Sales pipeline.
  • If stage result is unexpected -> verify RR target stage for the assigned pipeline.
  • If still not working -> contact support with organization and pipeline details.

FAQs

  • Does Round Robin work for all pipeline types? No. Round Robin pool participation is for Sales pipelines.

  • Can I choose a different target stage per Sales pipeline? Yes. Each RR-enabled Sales pipeline can have its own RR target stage.

  • What happens when I disable RR on a pipeline? That pipeline stops receiving Round Robin assignments until re-enabled.

  • What if I do not manually pick an RR target stage? The pipeline uses New Lead behavior by default.

Tips and best practices

  • Keep pipeline order aligned with your team's real assignment strategy.
  • Review RR target stage choices after any pipeline or stage restructuring.
  • After major changes, run a small controlled assignment test to confirm behavior.
  • Keep at least one clearly defined fallback Sales pipeline in your rotation.
  • Dashboard - Manage leads, bulk actions, and imports that can use Round Robin distribution
  • Import Leads - Optionally distribute imported leads via Round Robin
