Analytics

See lead volume, call activity, pending follow-ups, failed messages, and pipeline distribution on the Sales Analytics page — with alerts for leads that slipped through.

Overview

The Analytics page gives you a single view of how your sales pipeline is doing. It shows how many leads came in, how much calling your team did, which leads are waiting on a reply or reminder, how many automatic follow-ups went out, which WhatsApp messages failed, and how your leads are spread across pipelines and stages.

At the top, Alerts & Misses highlights leads that need urgent attention — for example, hot leads nobody has messaged, or leads that never replied to a follow-up — so you can act on them straight from the page.

You will find Analytics in the left sidebar, just below Smart Triggers. The page opens on Sales Analytics.

What you can do

  • Spot hot leads that have not been messaged and leads that did not reply to a follow-up, and open the list of those leads
  • See total leads, total call time, and calls done for any date range
  • See how many leads have no automatic follow-up running, have a pending reminder, or are waiting for your reply
  • Track new leads, AI-qualified leads, automatic follow-ups sent, and failed messages day by day
  • Open the list of leads whose WhatsApp template messages failed, retry them one by one or in bulk, and export the list to Excel
  • See how many leads are in each pipeline and in each stage
  • Narrow everything down to one or more pipelines
  • Choose which stages count as Hot Leads, Lead Won, and Lead Lost

Prerequisites & access

  • You must be signed in to Kraya with full CRM access. Users whose access is limited (for example, to WhatsApp API only) do not see Analytics in the sidebar.
  • Analytics is available to both admins and agents. There is no admin-only data on this page.
  • You only see data from the pipelines you have access to. Within those pipelines, the numbers include every lead, not only the leads assigned to you.
  • The Failed Messages chart and the failed-message list need a connected WhatsApp Business API account. See WhatsApp API Integration.
  • On the Free plan, some reports are locked. See Free plan.

Page layout

The page has a header and five sections, from top to bottom:

SectionWhat it showsDate filter
Alerts & MissesLeads that need urgent attentionNo — always current
OverviewTotal leads, total call time, calls doneYes — its own
Follow-UpsLeads with no auto follow-ups, pending reminders, pending repliesNo — always current
Lead & Messaging OverviewDaily charts for AI-qualified leads, new leads, auto follow-ups sent, failed messagesYes — its own
Pipeline Distribution & Lead FlowLeads per pipeline and leads per stageNo — always current

The header shows the Sales Analytics title, the pipeline filter, and an Analytics Settings gear icon.

How it works

Live data. Every number is calculated when the page loads. There is no delay or overnight sync — if a lead comes in or a call is logged, it shows up the next time you load or refresh the page.

Your organization's time zone. Date ranges and daily chart points use your organization's time zone. A range of 1 Mar – 7 Mar covers 1 Mar at 00:00 to 7 Mar at 23:59.

Pipelines you can access. The page only counts leads in pipelines you have access to. By default all of them are selected. Use the pipeline filter to narrow down.

Snapshot vs date range. Overview and Lead & Messaging Overview follow their own date filter. Alerts & Misses, Follow-Ups, and Pipeline Distribution always show the current state of your leads and ignore dates.

Filtering the page

Pipeline filter

  1. Click the pipeline button in the header. It reads All Pipelines by default.
  2. Tick or untick pipelines, or use the All Pipelines checkbox to select or clear all of them.
  3. Click Apply. All five sections reload for the selected pipelines.
  • When one pipeline is selected, the button shows its name. When several are selected, it shows N Pipeline Selected.
  • You must keep at least one pipeline selected — Apply is greyed out when none are selected.
  • If you close the menu without clicking Apply, your changes are discarded.

Date filter

The Overview and Lead & Messaging Overview sections each have their own Filter button. Changing one does not change the other.

  1. Click Filter on the section.
  2. Pick a preset — Today, Yesterday, Last 7 days, Last 30 days, Last 90 days, This month, or Last month — or click a start date and an end date on the calendar.
  3. Click Apply.
  • The default range is the last 7 days.
  • Future dates cannot be selected.
  • There is no maximum range.

Refresh

The Refresh button in Alerts & Misses reloads every section. It also resets both date filters back to the last 7 days.

The reports

Alerts & Misses

Leads that may have slipped through. A card only appears when its count is above zero. When there is nothing to act on, the section reads "No alerts pending for now".

CardWhich leads it counts
Hot Leads Added Today, No Message SentLeads moved into one of your Hot Lead stages in the last 24 hours that have not received a message from your team in the last 24 hours
Follow-Up Triggered, No Reply in 24hLeads that were sent an automatic follow-up more than 24 hours ago and have not replied since that follow-up
  • Click View List on a card to see the leads, with their name, pipeline, and stage. The list loads more as you scroll.
  • From each row you can open the chat (opens in WhatsApp Web) or click View in Dashboard to open the lead in your CRM.
  • The hot-lead card needs at least one Hot Lead stage set in Analytics Settings. Until then it shows "Hot Lead stage not configured." with an Assign Now button.

Overview

"Track overall lead volume and call activity at a glance." Follows the section's date filter.

CardWhat it counts
Total LeadsLeads created in the date range
Total Call TimeCombined duration of all calls logged in the date range, shown in minutes and seconds
Calls DoneCalls logged in the date range that were marked as done

Calls come from calls logged in Kraya — for example, from the Call Tracker app or the call log on a lead.

Follow-Ups

"Monitor pending reminders and replies to keep follow-ups on track." Always shows the current state.

CardWhat it counts
No Auto Follow-UpsLeads that have no automatic follow-up sequence running right now
Pending ReminderLeads with at least one reminder that is due and not yet marked done (each lead counts once, however many reminders it has)
Pending RepliesLeads who messaged you and have not received a reply since

See Auto Followups to assign sequences and Dashboard → Call reminders for reminders.

Lead & Messaging Overview

"Analyze new leads, follow-ups, and failed messages." Four line charts with one point per day, following the section's date filter. Hover over a point to see the exact value.

ChartWhat it counts per day
AI Qualified LeadsLeads qualified by AI that day. See AI Qualification
New LeadsLeads created that day
Auto Follow-Ups SentAutomatic follow-up messages sent that day
Failed MessagesWhatsApp API messages of any type that failed that day
  • If your organization has no WhatsApp Business API account connected, the Failed Messages chart shows "Connect WhatsApp API to view these stats" with a Connect WhatsApp API button.
  • A chart with no data shows empty axes.

Failed Leads (failed template messages)

Click View Failed Leads on the Failed Messages chart to open the list of leads whose WhatsApp template messages failed. It uses the same date range as the Lead & Messaging Overview section.

The list shows Failed Leads (N Failed) with these columns: Lead Info, Pipeline & Stage, Template Name, Date Attempted, and Actions. Click a template name to preview it.

  • If the same template failed several times for the same lead, only the most recent failure is listed.
  • The list loads 20 rows at a time as you scroll.

Retrying one lead

  1. In the lead's row, click the Retry Template Message icon.
  2. Confirm in the Confirm Retry dialog by clicking Retry.
  3. You will see "Template message queued successfully for retry", and the lead drops off the list.

Retrying several leads

  1. Tick the leads you want, or tick the header checkbox to select all.
  2. Click Retry Template Message in the selection bar.
  3. The WhatsApp broadcast flow opens at the template step. Pick a template and send as usual.

Exporting the list

  1. Tick the leads you want, or select all.
  2. Click Export Leads.
  3. A banner reads "Export in progress. Your leads will be downloaded as a XLSX file automatically once the export is complete." Keep the tab open — the Excel file downloads when it is ready.

You can run one export at a time.

Pipeline Distribution & Lead Flow

"Get a quick snapshot of how leads are distributed across pipelines and stages." Always shows the current state.

ChartWhat it shows
Assigned Lead In Other PipelineA bar for each selected pipeline showing how many leads it has right now
Leads By StageA pie chart of how many leads are in each stage right now

In Leads By Stage, stages that have the same name in different pipelines (for example, "New Lead" in two pipelines) are combined into one slice. Filter to a single pipeline to see that pipeline's stages on their own. Very small slices are drawn slightly larger so they stay visible, but their labels show the real count.

Analytics Settings

Click the gear icon (Analytics Settings) in the header to open the settings. Settings are personal — each user sets their own, and changing yours does not affect your teammates.

SettingWhat it is for
Hot Lead StageThe stage(s) that count as hot leads. Powers the Hot Leads Added Today, No Message Sent alert
Lead Won StageThe stage(s) that count as a won lead
Lead Lost StageThe stage(s) that represent a lost lead
Stall Day ThresholdThe number of days without activity after which a lead counts as stalled

At the moment, only Hot Lead Stage affects a report on this page. The other three are required to save but do not yet change any number shown.

Setting your stages

  1. Click the gear icon in the header.
  2. Open a section (for example Hot Lead Stage).
  3. Choose a pipeline in Select Pipeline, then a stage in Select Stage.
  4. To add a stage from another pipeline, click + Select another pipeline. Remove a row with the X.
  5. Repeat for every section, and enter No. of days under Stall Day Threshold.
  6. Click Save. You will see "Analytics settings updated successfully".
  7. Reload the page to see the alerts update with your new stages.
  • All four sections are required. Save stays greyed out until each stage section has at least one pipeline and stage selected and the number of days is filled in.
  • Enter a whole number from 1 to 90 for No. of days. Any other value fails with "Failed to update analytics settings".
  • A stage you already picked in the same section shows "(Already selected)" and cannot be picked again.
  • Your pipelines' default stages are not offered in the stage list.
  • Changing the pipeline on a row clears the stage you picked on that row.
  • Clicking Cancel, the X, or outside the window discards your changes.
  • If a stage is deleted, it is removed from everyone's settings automatically.

Free plan

On the Free plan you can open Analytics, but some reports are locked:

AvailableLocked
Overview, Follow-UpsAlerts & Misses, Lead & Messaging Overview, Pipeline Distribution & Lead Flow, Failed Leads

Locked reports are dimmed and show a lock icon with "Upgrade to unlock this report". Hover over one (or tap it on mobile) and click Upgrade now to see plans.

On mobile

  • The gear icon shows without the "Analytics Settings" label.
  • The date filter button reads just Filter, and the pipeline button reads N Selected.
  • Charts are stacked one per row.

Common edge cases

  • The hot-lead alert says "Hot Lead stage not configured." You have not picked any Hot Lead stage yet. Click Assign Now or the gear icon, choose your hot stage(s), save, and reload the page.

  • "Hot Leads Added Today" includes a lead that moved in yesterday evening The card looks at the last 24 hours, not the calendar day. A lead moved into a hot stage at 8 PM yesterday still appears this morning.

  • The Follow-Up alert includes leads from weeks ago The card counts any lead that got an automatic follow-up more than 24 hours ago and has not replied since — however long ago that follow-up was.

  • The Failed Messages chart total does not match the Failed Leads list The chart counts every failed WhatsApp API message (template and regular messages, including repeats). The list only shows template messages, and only the latest failure per lead and template.

  • My numbers differ from a teammate's Each person only sees pipelines they have access to, and settings like Hot Lead stages are personal.

  • A stage shows more leads than I expect in Leads By Stage Stages with the same name in different pipelines are combined. Filter to one pipeline.

  • I changed a date filter and the other section did not change Overview and Lead & Messaging Overview have separate date filters by design.

  • I clicked Refresh and the numbers changed Refresh resets both date filters to the last 7 days. Open the filter and apply your range again.

Troubleshooting

The page shows "Error Loading Analytics"

  • Cause: One of the sections could not load.
  • Fix: Reload the page. If it keeps happening, contact support with the time it happened and the pipelines you had selected.

Analytics is missing from my sidebar

  • Cause: Your account has limited access (for example, WhatsApp API only).
  • Fix: Ask your admin to give you full CRM access.

A report is dimmed with a lock

  • Cause: Your organization is on the Free plan.
  • Fix: Upgrade your plan. Overview and Follow-Ups stay available on the Free plan.

"Failed to update analytics settings" when saving

  • Cause: Usually the No. of days value is outside 1–90.
  • Fix: Enter a whole number between 1 and 90 and save again.

There is no "View Failed Leads" button

  • If the chart says "Connect WhatsApp API to view these stats" → connect a WhatsApp Business API account.
  • If the chart has no failed messages in the selected range → widen the date range.
  • If the report is locked → upgrade your plan.

Retrying a single lead fails

  • "Failed message information not available. Please use bulk retry for this lead." → select the lead and use Retry Template Message in the selection bar instead.
  • "Failed to retry template message" → the template may no longer be approved, the lead may have no phone number, or your WhatsApp account may be disconnected. Check these and try again.

Export does not download

  • "Please select at least one failed message to export" → tick at least one lead.
  • "No failed template messages found to export" → there are no failed template messages for the selected range and pipelines.
  • If the banner shows but nothing downloads → keep the tab open and wait for the download to start.

FAQs

  • How often is the data updated? Every time you load or refresh the page. There is no daily delay.

  • Do the numbers include only my leads? No. They include every lead in the pipelines you have access to, including leads assigned to teammates.

  • Can I see analytics per salesperson? Not on this page. There is no user or agent filter.

  • Which time zone is used? Your organization's time zone.

  • Are deleted leads counted? No. Deleted leads are removed from every report.

  • Can my teammates see my Analytics Settings? No. Each user has their own settings.

  • Why are Lead Won, Lead Lost and Stall Day Threshold required if they do not change anything? The settings window asks for all four. For now, only Hot Lead Stage changes what you see on this page.

Tips and best practices

  • Set your Hot Lead stages first — without them, the most useful alert stays empty.
  • Check Alerts & Misses and Pending Replies at the start of each day.
  • Use No Auto Follow-Ups to find leads that are not being nurtured, then assign a sequence in bulk from the Dashboard.
  • Filter to a single pipeline when reading Leads By Stage so stages are not combined.
  • Review Failed Leads after every broadcast and retry the ones that failed.
