Product Catalog
Upload your product list so the AI recommends the products that match what each lead asked for — by brand, category, budget, or any column you choose.
Overview
Product catalog lets you upload your product list so the AI can recommend specific products to your leads. Instead of guessing from general knowledge, the AI narrows your catalog to the products that match what the lead actually asked for — for example a brand, a category, or a budget — and recommends from those.
You upload a spreadsheet of your products, then choose which columns the AI is allowed to filter on. The catalog is used automatically in AI replies across WhatsApp, Instagram, and the Chrome Extension.
What you can do
- Upload your product list as a CSV or Excel file (
.csv,.xlsx,.xls) - Choose, per column, how the AI may use it: Exact match, Number range, or Not used
- Let the AI recommend products that match a lead's stated brand, category, price range, and other attributes
- Review the actual values in each column before turning it on
- Update your column choices at any time, or replace the catalog with a new file
- Remove the catalog entirely when it is no longer needed
How it works
- The Product catalog section lives on the AI Setup page of your Knowledge Base, below the AI-Guided File Sharing section.
- After you upload a file, Kraya reads it and shows every column it found. For each column you decide whether the AI can filter on it.
- When you save your choices, Kraya prepares (indexes) the catalog. While this runs, the file shows Indexing…. Once it finishes, it shows Filtering active and the AI starts using it. If preparation fails, it shows Indexing failed.
- When a lead sends a message and AI replies are enabled, the AI works out which attributes the lead stated (for example "men's running shoes under 5000") and fetches only the matching products from your catalog before writing its recommendation.
- If no products match the stated filters, the AI automatically recommends from the whole catalog instead — so it never replies that it has nothing available.
- Columns you set to Not used are not used as strict filters, but your product information still contributes to the AI's general understanding when it answers.
- If you have no catalog, nothing changes — your AI replies behave exactly as before.
Step-by-step guide
Uploading a catalog
- Go to Knowledge Base from the dashboard sidebar and open the AI Setup page.
- Scroll to the Product catalog section.
- Drag a
.csv,.xlsx, or.xlsfile onto the box, or click Choose file and select it. The box shows Reading file… while Kraya reads the columns.
Mapping columns (choosing what the AI filters on)
After the file is read, each column appears as its own row.
- On the left of each row you see the column name and a short summary of what it contains:
- Text · N values · view for text columns — click view to see the full list of distinct values in that column.
- Number · low – high for numeric columns, showing the range of values.
- Columns where almost every value is different are marked nearly all unique and are set to Not used by default (these rarely make useful filters, for example a product code).
- On the right of each row, use the dropdown to choose how the AI may use that column:
- Exact match — the AI matches the exact value the lead states (for example a brand or category).
- Number range — the AI matches values within a range the lead states (for example a budget).
- Not used — the AI does not filter on this column.
- If the file has many columns, click N more columns to show the rest.
- Click Save mapping. A note reminds you that saving indexes your catalog and filtering starts once indexing finishes.
After saving
Once saved, the section shows your file and a summary of what the AI can filter on:
- A list of chips, one per column you turned on, each showing its mode — for example Category · exact or Price · range.
- If you set every column to Not used, you instead see: "No columns are used for filtering. The AI recommends from the whole catalog by relevance."
- The file row shows the current state: Indexing…, Filtering active, or Indexing failed.
Click Update mapping to reopen the editor and change your choices.
Replacing the catalog (re-upload)
To use a different or updated product list, upload a new file. This replaces your current catalog and reopens the mapping editor.
- Any column you had turned on before is pre-selected again if it still exists in the new file.
- If a column from your previous mapping is missing from the new file (for example a renamed heading), Kraya drops it and names it so you know, then you save the mapping again.
Deleting the catalog
- Click the delete (trash) icon on the file row.
- Confirm in the dialog that appears.
The catalog is removed and the AI stops filtering recommendations. You can upload a new catalog at any time.
Settings and configuration
Each column has one setting — the filter mode:
- Exact match — best for text columns with a fixed set of options (brand, category, colour, gender). The AI only selects a product when the lead names the exact value.
- Number range — best for numeric columns (price, size). The AI matches products within a lower and/or upper bound the lead states.
- Not used (default for near-unique columns) — the column is not used as a filter.
Kraya suggests a mode for each column based on its contents, but you can change it. For example a numeric-looking code column may be suggested as a number; if you never filter on it, set it to Not used.
Role-based behavior
- Admins: can upload, map columns, update the mapping, and delete the catalog.
- Members: see the catalog and its current mapping in read-only mode. They cannot upload, change, or delete it.
Limits and quotas
- Supported file types:
.csv,.xls,.xlsxonly. Other file types are rejected. - You have one active catalog at a time. Uploading a new file replaces the existing one.
- Product catalog is part of the AI Knowledge Base, available on Basic and Pro plans. It is not available on the Free plan.
Common edge cases
-
Filtering has not started yet Right after you save, the file shows Indexing…. During this time the AI does not filter by attributes yet — it recommends from your catalog and knowledge base as usual. Filtering begins when the status changes to Filtering active.
-
You turned every column off The catalog is saved, but the AI does not apply any attribute filters. It recommends from the whole catalog by relevance. Turn at least one column to Exact match or Number range to enable filtering.
-
A column was renamed or removed after re-upload Columns from your old mapping that are missing in the new file are dropped and named in the editor. Re-map any you still want and save again.
-
A mostly-numeric column has some text values Kraya may suggest it as text. If you set it to Number range, products whose value is not a valid number in that column will not match number filters.
-
A lead states two attributes that don't co-exist Filters are combined — the lead must match all stated attributes. If that combination has no products, the AI falls back to recommending from the whole catalog rather than replying that nothing is available.
Troubleshooting
"We could not read that file"
- Cause: The file is not a valid CSV or Excel file, or it is corrupted.
- Fix: Open the file, confirm it has a header row and product rows, save it as
.csvor.xlsx, and upload again.
The file uploaded but the AI is not filtering recommendations
- If the file row shows Indexing…, wait — filtering starts when it becomes Filtering active.
- If it shows Indexing failed, open Update mapping and save again to retry.
- Open Update mapping and confirm the relevant column is set to Exact match or Number range, not Not used.
The AI recommends products outside the stated budget or brand
- Cause: The relevant column is not mapped, is set to Not used, or is set to the wrong mode.
- Fix: Open Update mapping, set the price column to Number range and the brand/category column to Exact match. Use view to confirm the column actually contains the expected values.
I can't upload or change the catalog
- Cause: Only admins can manage the catalog.
- Fix: Ask an admin in your organization to upload or update it.
FAQs
-
What file formats are supported? CSV, XLS, and XLSX.
-
Can the AI filter by price range? Yes. Set your price column to Number range. The AI then matches products within the budget the lead states.
-
What happens to columns I set to "Not used"? The AI does not use them as strict filters, but your product details still help the AI understand and answer questions.
-
Does the catalog work on all channels? Yes — WhatsApp, Instagram, and the Chrome Extension, as well as in AI simulations and bump-up messages.
-
What if the lead's request matches no products? The AI automatically recommends from the whole catalog instead of replying that nothing is available.
-
How do I update my product list? Upload a new file. It replaces the current catalog and keeps your previous column choices where the columns still exist.
Tips and best practices
- Turn on only the columns leads actually ask about — brand, category, and price are usually the most useful.
- Use view to confirm a column's values look clean before turning it on, so the AI matches on real values.
- Give your columns clear headings; if you rename headings later, re-check the mapping after re-uploading.
- Keep the catalog current — re-upload when prices or products change so recommendations stay accurate.
