Three ways to add a new lead to your Kraya CRM.

How to Add a New Lead into My Kraya CRM

There are three main ways to add a lead into Kraya CRM. Please follow the step-by-step instructions carefully. Even if you're not tech-savvy, these instructions will guide you through everything.

Option 1: Add a Lead Manually via Google Sheet (Most Common)

This option is for clients who were onboarded with a Google Sheet integration. You will have received a shared Google Sheet from the Kraya team.

  1. Open the Google Sheet shared with you (usually titled "Kraya Lead Sheet" or similar). Make sure you're logged into the same Gmail ID that was given access.
  2. Fill in the lead's details: Go to the next empty row and enter:
    • Full Name: e.g. Rahul Sharma
    • Phone Number: Include country code. e.g. +919876543210
    • Tag / Label: This determines which follow-up flow starts. e.g. DNP, Validation, Cold, Hot
    • Source (Optional): Where the lead came from — e.g. Website, Instagram, Workshop
    • Notes (Optional): Any quick notes like "Asked for callback Monday"
  3. Wait 2–5 minutes. Kraya checks this sheet every few minutes. If the number is valid and WhatsApp-enabled, the follow-up sequence will start.
  4. Check WhatsApp: The message will go from your registered WhatsApp device, and you can check it in your Sent Messages.

Important: If nothing happens after 10 minutes:

  • Check if the number has WhatsApp
  • Make sure there are no typos
  • Ensure the country code is added (e.g. +91, +971, etc.)

Option 2: Add a Lead via WhatsApp Widget (for Website Leads)

This method applies if Kraya has installed a WhatsApp widget on your website or landing page.

  • A visitor clicks on the widget/button and sends a WhatsApp message.
  • That message instantly gets added into your Kraya CRM. No action needed from your side.
  • You'll see them appear in the "New Leads" or default label view inside your WhatsApp.
  • You can now manually change their label (e.g., from "New Lead" to "Interested") inside WhatsApp if needed.

Tip: Ask the Kraya team if you'd like to create different widgets for different campaigns.

Option 3: Add Leads via API or Webhook (Advanced Users)

If you want to connect Kraya to a form, CRM, or another tool, you can use our API or Webhook method.

  • Request API/Webhook documentation from the Kraya support team.
  • Use tools like Zapier, Pabbly, or native Webhook connectors to push data into the Kraya Google Sheet or endpoint.
  • Make sure the phone number is formatted with the country code.
  • Set a default tag (e.g., "Website Lead") in the automation so the right sequence gets triggered.
